Exhibiting or sponsoring at a tech conference can be one of the fastest ways to meet buyers, investors and partners in one place. It can also be one of the fastest ways to spend a marketing budget with little to show for it.
The difference usually comes down to planning. Teams that know what each line item costs, and what they need to get back, make better decisions about which events to commit to. This guide pulls together publicly listed sponsor and exhibitor prices from real events, explains the costs that sit outside the package price, and ends with a checklist for judging return on investment.
Before looking at prices, it helps to separate the options. Most events sell some combination of the following.
Startup packages are the cheapest way onto an expo floor, and several European events publish their rates.
Slush lists its Startup Booth, a 5 square meter space in front of the Startup Stage, at €1,500 for one day or €3,000 for two. Any startup at Series A or earlier could apply, and applications for 2026 closed on August 31. You still need a ticket: Slush lists its Startup ticket at €395.
TechBBQ listed its 2026 startup booth at €1,000 excluding VAT. The package includes a branded 2×3 meter booth with a high table, two chairs and power, three full-access tickets, a branding wall, a marketing kit and a logo on the TechBBQ website.
Deutsche Telekom’s TechBoost program offered a startup package at DIGITAL X 2026 for €3,900, described as a special price for TechBoost startups. It covered about 4 square meters in the start-up area with a standard build and logo, a 43-inch screen, power, Wi-Fi, a standing table, two chairs, a locker and two exhibitor tickets.
Web Summit sells startup packages through an application-based program that bundles tickets, a showcase slot, pitch competition entry, mentor hours and investor meetings. Web Summit does not show package prices on its public pages; its 2026 program was sold out when we checked. For a historical reference point, the team behind BCMS wrote that its Web Summit ALPHA package cost €850 and covered three attendees and a booth for one day.
Trade agencies often run shared stands. Switzerland Global Enterprise listed its Swiss Pavilion at Slush 2026 with a Desk package at CHF 5,500 (half a day at a desk, screen, logo placement and one Slush startup ticket) and a Logo package at CHF 2,500. Both sold out. Check with your own country’s trade or startup agency, since many subsidize these spots.
Full sponsorship tiers are where costs climb, and where speaking slots usually appear.
Zabbix published a clear tier sheet for its October 2026 summit:
Add-ons included a lunch sponsorship at €3,500, a coffee break sponsorship at €2,000 and a main party sponsorship at €5,000.
At the small end, CITCON Europe, with a projected attendance of 125, listed a Full Sponsorship at €3,000 (including booth space), a Web Sponsorship at €1,000, a lunch sponsorship at €1,500 and break sponsorships at €1,000.
An October 2026 survey by Everything PR of published sponsorship offers that include speaking time found a range of $2,500 to $40,000 across 21 US-dollar offers, with a median of $13,000. Among the European examples, the GBTA, VDR and ABTA Europe Conference listed a co-developed session at €12,500 plus VAT.
The biggest conferences, including KubeCon Europe, MWC and VivaTech, publish tier names but share pricing through a prospectus or sales team. KubeCon Europe 2026, for example, listed Diamond, Platinum, Gold, Silver and Start-up tiers, with prices in a downloadable prospectus. Expect to request a quote.
The package is only the start. Several other costs routinely match or exceed it.
If you are not using a turnkey or shell booth, you will need a stand. Triumfo, a US exhibit builder, published per-square-foot build cost ranges in July 2026: $50 to $125 for portable displays, $75 to $225 for modular builds and $125 to $325 or more for custom stands. These figures cover structure, lighting and graphics but exclude audiovisual equipment and content.
Many exhibitors bring in specialist studios to create interactive or immersive stand experiences, such as mixed reality demos, LED walls or projection. If that fits your goals, our guide to immersive experience companies for trade shows profiles firms that build them.
At events that sell raw floor space, GES, a major exhibition services company, cites an average booth space rate of $100 to $150 per square foot, which puts a 10×10 foot booth at $10,000 to $15,000. On top of space come show services (electrical, lighting, labor, material handling and storage), shipping for displays and products, and furniture and flooring. GES recommends renting furniture and flooring from official show providers as usually the most budget-friendly option.
Every person on the stand needs a ticket (if not included), a flight, a hotel and meals. Hotel costs spike around large events. Navan’s analysis of Web Summit 2025 found a median nightly rate of $444 near the venue in Lisbon. Budget for enough staff to cover the booth in shifts, plus at least one person free to take meetings.
Pre-event outreach, printed material, giveaways and demo equipment all add up. GES also notes that booth graphics typically last about a year, so plan to refresh them annually.
GES offers a widely used rule of thumb: industry surveys put total show costs at about three times the cost of the exhibit space. A $20,000 space implies a total budget of around $60,000. That ratio will not hold for every package, especially turnkey startup booths, but it is a useful reality check when you are looking at raw floor space.

Run through these questions before you sign anything.
The cost to sponsor or exhibit at a tech conference ranges from about €1,000 for a startup booth at a regional event like TechBBQ to €22,000 or more for a top sponsorship tier, and far higher at the largest shows that price by quote. The package is only part of the bill: booth build, services, shipping, travel and staffing can add as much again or more, which is why GES estimates total costs at roughly three times the space price. Start with one clear goal, check that the audience matches it, price every line item and set your measurement plan before you commit. That is how an exhibitor budget turns into pipeline instead of a line on the expense report.
