Stephen Garbesi is the founder of WooSender and the creator of the Woosender AI Sales Agent, a platform that helps businesses engage leads, book appointments, and maintain communication at scale across text, email, phone, and scheduling.
His background is in marketing, lead generation, and customer communication. Before WooSender, he worked on campaigns for organisations such as Pfizer, AstraZeneca, and Johnson & Johnson, then built a marketing agency of his own. It was there that he noticed the pattern that would become the company’s founding premise: businesses were generating leads but failing to follow up on them effectively.
Today the platform serves legal, financial services, insurance, healthcare, mortgage, real estate, home services, recruiting, education, and automotive businesses. In this interview, Stephen talks about why most companies have a follow-up problem rather than a lead problem, how he measures whether an automation system is genuinely working, and what he has learned about scaling technology in regulated industries.
Please introduce Woosender AI Sales Agent and describe your role in building it.
I am the founder of WooSender and the creator of the Woosender AI Sales Agent. My background is in marketing, lead generation, and customer communication. Before WooSender, I worked on campaigns for organisations such as Pfizer, AstraZeneca, and Johnson & Johnson. Later, I built a marketing agency and noticed a recurring problem. Businesses were generating leads but failing to follow up effectively. The Woosender AI Sales Agent was built to solve that problem by helping organisations engage leads, book appointments, and maintain communication at scale.
What is the core business model behind the Woosender AI Sales Agent?
The platform combines AI automation, communication infrastructure, and operational strategy. We use our internal team to build and support the technology while helping clients implement it into their workflows. The goal is not simply to provide software. The goal is to create a system that helps businesses manage communication more efficiently across text, email, phone, and appointment scheduling.
How does the Woosender AI Sales Agent differentiate itself from other AI communication platforms?
Most platforms focus on tools. We focus on outcomes. The Woosender AI Sales Agent manages the entire communication process, from first contact through appointment booking and follow-up. It communicates through multiple channels and continues nurturing leads when they do not respond immediately. We believe many businesses do not have a lead problem. They have a follow-up problem.
Which industries do you primarily serve today?
We work with legal, financial services, insurance, healthcare, mortgage, real estate, home services, recruiting, education, automotive, and other service-based businesses. Over time, we expanded because the communication challenges are very similar across industries. People want fast responses, consistent follow-up, and a better customer experience.
What are the most common reasons organisations adopt the Woosender AI Sales Agent?
The most common reasons are appointment booking, lead engagement, follow-up automation, AI voice communication, speed-to-lead improvement, and operational efficiency. Many organisations already have lead generation working. They need a better way to manage and convert the opportunities they already have.
How do you stay ahead in an industry that changes so quickly?
I stay close to customers. That is where the best information comes from. We study communication trends, test new ideas, review performance data, and pay attention to how people actually interact with businesses. Technology changes quickly, but customer expectations usually point you in the right direction.
Do you have a large percentage of long-term clients?
Yes. Many clients continue working with us because communication is not a one-time project. Businesses need ongoing engagement systems. Loyalty comes from producing measurable results and continuously improving processes as a business grows.
How do you measure customer satisfaction?
We focus heavily on response rates, appointment rates, engagement metrics, system usage, and client feedback. We also look at operational outcomes. If communication improves and teams save time while maintaining quality, that is a strong indicator that the system is working.
What type of ongoing support do you provide?
Communication is always evolving, so support is ongoing. We help clients optimise workflows, improve campaigns, adjust automation sequences, and respond to changing business needs. We want the system to continue improving over time rather than remaining static.
How does your pricing structure generally work?
Pricing varies based on business size, communication volume, and implementation requirements. Some organisations need basic automation while others require more advanced communication workflows. Because every implementation is different, there is no single pricing structure that applies to everyone.
What is the typical investment range for organisations using the platform?
The exact numbers vary depending on industry, scale, and complexity. What matters most is whether the organisation has enough lead volume and communication activity to benefit from automation. The focus is always on operational value rather than simply reducing costs.
Have you ever declined opportunities based on fit?
Yes. Not every organisation is a good fit. We work best with businesses that receive a meaningful number of inbound or outbound opportunities and are committed to improving their communication process. If a company is not ready to implement systems or measure outcomes, success becomes more difficult.
What have been the biggest challenges over the last few years?
One of the biggest challenges has been scaling while maintaining quality. Building AI communication systems for regulated industries requires careful attention to compliance, infrastructure, and customer experience. We have had to continuously strengthen internal systems as the company grows.
How do you encourage innovation within your organisation?
Innovation starts with solving real problems. We spend a lot of time studying customer workflows and identifying bottlenecks. We test ideas quickly, measure results, and adapt. Technology should solve practical problems, not exist for its own sake.
How important is company culture to long-term success?
It is critical. We value adaptability, accountability, communication, and execution. The technology industry changes rapidly. Teams need to be willing to learn, improve, and stay focused on customer outcomes rather than chasing every new trend.
Where do you see the Woosender AI Sales Agent in the next five to ten years?
I see it becoming an increasingly important communication layer between businesses and their customers. The goal is to help organisations communicate faster, more consistently, and more effectively while allowing human teams to focus on higher-value conversations.
How has your leadership style evolved over time?
Earlier in my career, I focused heavily on features and technology. Over time, I learned that systems, processes, and customer outcomes matter just as much. Today, I spend more time thinking about execution, scalability, and long-term sustainability.
What technologies or market shifts are you most excited about?
I am excited about AI’s ability to improve communication quality and operational efficiency. I am also interested in how AI can coordinate conversations across multiple channels while maintaining a personalised experience. The opportunity is not replacing people. It is helping people communicate better.
What advice would you give to founders and business leaders building technology companies today?
Stay focused on the problem you are solving. It is easy to become distracted by trends, especially in AI. The businesses that succeed are usually the ones that remain committed to customer needs and execute consistently. One lesson that has stayed with me throughout my career is simple: technology should solve real problems. If you stay focused on that, the rest becomes much easier to navigate.
Key Learnings
- Most businesses do not have a lead problem. They have a follow-up problem, and that is where automation earns its keep.
- Focus on outcomes rather than tools. Owning the whole communication process, from first contact through booking and follow-up, is what separates a system from a feature set.
- Stay close to customers. Technology moves quickly, but customer expectations are the more reliable guide to what to build next.
- Measure the operational result, not just the activity. Response rates, appointment rates, and time saved without a drop in quality show whether a system is actually working.
- Fit matters more than volume. Companies that are not ready to implement systems or measure outcomes are harder to succeed with, and turning those engagements down protects quality.
- Scaling in regulated industries means continuously strengthening compliance and infrastructure, not only adding capability.
- Innovation starts with a real bottleneck. Test quickly, measure, and adapt, because technology should not exist for its own sake.
- The opportunity in AI communication is not replacing people. It is helping human teams focus on the higher-value conversations.
